Employer's Life

Is your payroll running smoothly?

Do you get to the end of the month and wish a magic fairy would come and sort out paying your employees?

Paying your staff properly, calculating deductions and the amount of tax and National Insurance Contributions correctly can be nothing short of a time consuming headache.

And then there are pensions… and the worry that you might be getting it all wrong.

Parental Choice Payroll is delighted to be working closely with the Equestrian Employers Association to ensure you, its members, remain compliant with your responsibilities in relation to payroll, pension and employment law.

In the meantime, for those of you who would like more information on paying your employees we’ve created a whistle-stop tour of the world of payroll for you.

What does the word ‘payroll’ mean and how is it different to the word ‘wages’?

The term ‘Payroll’ means a list of employees within a company and how much they are to be paid. Payroll is essential in any business in which people are employed to work.
Payroll is needed to:
• Calculate how much your employees need to be paid
• Calculate how much tax and NIC (National Insurance Contribution) you need to deduct from an employee's gross pay
• Report employee pay details to HMRC
• And most importantly, pay your employees
Wages are how much an employee receives, but do not include Employer NI (National Insurance) or pension contributions, which employers need to pay on top of employee salaries.

Why should I use someone else to do my payroll, can’t I save money and just do it myself?

Yes, you can operate your own payroll, but the payroll function can consume a large proportion of your staff resources, especially if the staff in charge of the payroll are not trained specifically to deal with it or have the payroll function as a smaller part of their overall responsibilities.

The benefits of outsourcing the payroll include freeing up these resources allowing your staff to concentrate on more essential tasks. Outsourced functions are also specialists in the field, so are better equipped to deal with everything for you.

My accountant sorts all the tax and Ni for my employees, why would I move away from them?

Many accountants, whilst happy to provide payroll, are not necessarily specialists in the field and are not always happy or able to deal with auto enrolment into workplace pensions, which are now a statutory requirement for all employers. It is recommended that the pension is run in conjunction with the payroll, so that everything is reported correctly in accordance with current legislation.

I think my accountant is charging me a lot more than you might, how do I move it all over?

If you are unhappy with your current payroll provider and would like to switch, then it is very simple.
All we need is:
• Your PAYE scheme reference number
• Your PAYE account reference number
• A P11 which you can get from your payroll provider
• The date from which we are to take it over from your existing provider
Once we have the above information and your basic details as well as those of your employee, we can transfer you over to us with no interruption of service or pause in your payroll.

Why does it cost more for this to be done by my accountant than with PC Payroll?

Parental Choice are specialists in the provision of payroll for small employers, so have a team of knowledgeable, experienced staff on hand to guide you through everything.

What is the number one benefit of not doing this payroll thingy myself?

To free you up of the often-complex and burdensome administration that accompanies employing staff, thereby allowing you to focus on your business.

I am a bit nervous to share this with someone new as I think I might have been doing it wrong for many years…. Will I get a massive fine?
Whatever the problem, we have probably come across it before!
Parental Choice can assist you with this and help you get everything in place correctly if things have got a little behind. We can speak with HMRC on your behalf and then advise how any problems can be rectified.

PC Payroll has been operating payroll and the associated administration necessary for individual employers for over eight years, so we really are experts in our field. We have been working very successfully with EEA for almost two years and have a solid understanding of the needs and requirements of the equine world.

As a member of the EEA you are entitled to preferential rates across Parental Choice Payroll services. PC Payroll currently run the payroll for a number of EEA members, and we would be happy to discuss your requirements without obligation.

One EEA member has said of PC Payroll: ‘You have made it so easy to ensure that we have been paying our staff properly’. Find out more.

If you’d like to take advantage of the preferential rates available to EEA members you can join today.
