Yesterday we spoke to a member who had some HR and employment related questions, her opening line was ‘We are taking this time to get our sh*t in order, so please can you help’.

Yes we can!

So if you need assistance in ticking those paperwork boxes here are a few things to get you started: 

Employment Contract
It is now a legal requirement that all employees have a Written Statement of Particulars before, or on their start date of employment.
This protects both the employer and the employee.

If your team don’t have written contracts then you can create them in five simple steps, branded to your business, with the EEA Contract Creator.  

Staff Handbook
Creating a staff handbook will give you the peace of mind that you are complying with the law. Under the Employment Rights Act 1996 employers are required to provide details of their disciplinary and grievance procedures to their employees. 

Issuing a full staff handbook with additional policies – such as equal opportunities, absence management and social media policies – has a number of benefits, giving clarity to both you and your employees. You can create your own using the Staff Handbook Creator

Health and Safety
We all know that accidents can happen and the yard can be a risky place (as can the horses). If you employ people, even just one person part time, you have a legal and moral duty to ensure that they are kept as safe and free from harm as far as is practicable.

Create a bespoke Health and Safety Manual which outlines the way in which safety will be managed for employees and customers within your equestrian business; and by using the Risk Assessment Creator, create a series of personalised documents which identify how to keep people safe. Pension and Payroll

Submit your 2019/2020 accounts
You don’t have to wait until 31st January 2021, you can submit last years accounts now. This will be one less job to do, but will also let you prepare for any tax/VAT payments you need to make.

Updating contracts
You may have employee livery agreements, accommodation agreements, client livery agreements already in place. Now is a great time to re-visit them to check they are up to date.

Sign up to the Code of Good Employment
The Code of Good Employment is designed for equestrian employers of all sizes. It marks an important stage in the development of good employment practice in the equestrian world.

It has not been imposed, but instead has been embraced, as equestrian employers take ownership of their own governance and use this framework to strengthen their practices and businesses. There are four key principles:
- Make it legal
- Pay correctly
- Good management
- Safe workplace

If adopted and put into practice, the Code’s principles should ensure that an equestrian business is legal, sustainable, successful, caring and recognised as well run by liveries, employees, clients, funding bodies, the media and sponsors. Sign up to the Code of Good Employment.
